Detailed Description of the Project
This project transforms a critical but historically manual process, the review of personnel expenses across 25+ countries, into an intelligent, AI-driven system that scales with the company’s global footprint. Its impact is threefold: strategic, because the outputs directly feed CEO and ExCo-level decisions on workforce cost, budget allocation and headcount strategy; operational, because it eliminates hundreds of hours of manual review per cycle, freeing the Finance team to focus on analysis rather than data wrangling; and financial, because the early detection of budget deviations, payroll anomalies and optimization opportunities translates directly into measurable cost savings. The project also positions the company at the frontier of AI adoption in Finance, building internal capabilities that can later be replicated in other control and audit processes.
Project Objective
Design and deploy an AI-powered expense review system across 25+ countries, enabling automated detection of budget deviations, payroll anomalies and cost optimization opportunities transforming a manual process into an intelligent, scalable solution that directly feeds CEO and ExCo-level decision-making.
Challenges for the Students
- The internship will be carried out in person in the office where the supervisor, or team, is located. This may be subject to change depending on the situation and the indications established by HR
- Work across 25+ countries with heterogeneous data sources, processes and stakeholders, building a single consistent view.
- Translate raw AI outputs into clear, decision-ready insights for Finance leadership and ExCo.
- Deliver under high visibility results will be seen by the CEO and ExCo with strong attention to detail and accuracy.
- Operate at the intersection of Finance, Data and AI, learning new tools quickly and adapting as the solution evolves.
- Balance speed and accuracy while piloting, refining and scaling a brand-new solution from prototype to full rollout.
Main Responsibilities and Activities to Be Carried Out
- Map and document the current personnel expense review process across the 25+ countries in scope, identifying pain points, manual touchpoints and data sources.
- Design the AI-powered review logic: define the rules, prompts and detection criteria for budget deviations, payroll anomalies and cost optimization opportunities.
- Build and configure the automated workflow using AI, integrating it with the company’s existing data infrastructure (BI tools, payroll systems, budget files).
- Develop validation routines and dashboards that translate AI outputs into clear, decision-ready insights for Finance leadership and ExCo.
- Run pilot reviews on selected countries, iterate on accuracy and refine the model based on findings.
- Roll out the solution progressively to all countries, with documentation, training materials and a handover playbook for the Finance team.
- Present results, savings identified and recommendations to senior stakeholders.
Specific Requirements / Qualifications
Technical knowledge
- Data handling skills: SQL, Excel at advanced level, and familiarity with BI tools (Power BI, Tableau or equivalent).
- Comfort working with AI tools and prompt design; previous exposure to coding AIs or other LLMs is a plus.
- Understanding of personnel expense structure is a plus: payroll, benefits, provisions, taxes and budgeting principles (Accounting / Finance background).
Analytical and problem-solving skills
- Ability to identify patterns, anomalies and root causes in financial data.
- Critical thinking to translate raw AI outputs into clear, business-ready insights.
Soft skills and competencies
- Strong communication skills in English and Spanish, with the ability to present findings to senior leadership.
- Ownership, attention to detail and a structured way of working — results of this project will be visible to CEO and ExCo.
- Curiosity and willingness to learn, as the project sits at the intersection of Finance, Data and AI.
- Team collaboration: the project is delivered by a multidisciplinary team (Accounting, BI, Finance) working in parallel.
