Project Objective: Support the end-to-end logistics, communication workflows, and on-site coordination for the company´s annual Career at Cemex Event, which celebrates employees reaching 15,20,25,30,35, and 40 years of service. The intern will help ensure a seamless experience for honorees and their families by managing information, organizing activities, and assisting with operational tasks.
Challenges for Students:
- Coordinating multiple stakeholders, including honorees, families, internal teams, and vendors.
- Managing large volumes of information with accuracy and confidentiality.
- Working under tight timelines and adapting quickly to evolving event needs.
- Ensuring consistent, clear communication to hundreds of participants.
- Balancing simultaneous tasks while maintaining attention to detail.
Main responsibilities and activities:
- Support the full logistics planning for the Loyalty Recognition Event.
- Compile, update, and maintain the master list of honorees by years of trajectory.
- Coordinate and schedule individual and family photo sessions, including confirmations and follow-ups.
- Draft and send email communications to honorees and internal stakeholders (invitations, reminders, instructions, confirmations).
- Track attendance, dietary requirements, and special accommodations.
- Prepare checklists, timelines, and supporting materials for the event team.
- Collaborate with the Communications team on messaging, templates, and content consistency.
- Support other assigned logistics or administrative tasks.
Specific requirements, technical and soft skills:
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
- Strong written communication skills (English and Spanish) for email drafting and stakeholder updates.
- Organizational skills for managing databases, calendars, and logistics documents.
- Basic event coordination knowledge (desired but not required).
